Role
The Import Administrator is responsible for handling all import shipments from any port, from start to finish, ensuring accuracy, compliance, and timely execution. This is a full-time, on-site position in Savannah, and the Administrator will be accountable for all actions taken once trained.
The role requires a proactive approach to customer service, operational accuracy, and continuous learning, supporting the department and clients in all aspects of import processes.
Responsibilities
Import Operations & Documentation
- Manage all import shipments independently, producing documents from blank screens when necessary.
- Review and verify all shipping documents, ensuring compliance with regulations and company standards.
- Coordinate delivery of cargo, inspections, and other logistics according to requirements.
- Prepare documentation and invoices accurately and timely for customers and accounting purposes.
- Arrange insurance coverage for shipments when applicable.
- Maintain accurate and detailed notes for each file and transaction.
Customer Support & Consulting
- Guide customers through import procedures, providing step-by-step consulting and directing them to appropriate resources.
- Prepare price quotations by comparing rates and services; negotiate rates and agreements on behalf of customers when required.
- Keep customers informed throughout the shipment process, maintaining professional business relationships.
Compliance & Professional Development
- Stay current on import references, tariffs, manuals, and source materials; ensure all information is accurate and up-to-date.
- Participate in ongoing training, seminars, or other educational opportunities as required to maintain knowledge of transportation regulations.
- Ensure work is completed accurately and thoroughly according to company training manuals and procedures, taking priority over non-critical deadlines.
Department Support
- Assist the Import Manager as requested.
- Support accounting in invoice collection according to departmental procedures.
- Field import-related questions from customers and colleagues.
- Verify information for new customers and update relevant references or materials as needed.
Attendance & Reliability
- Maintain regular and predictable attendance, which is essential to the role.
